Arrival and Setup
The Vic Johnston Arena will be open commencing at 12:00 noon, Friday June 2nd. Vehicles will be permitted to park in the arena parking lot that day. You will be directed to the arena doors with your vehicle by our staff. Please do not bring your vehicle into the arena driveway until requested to do so. No one will be admitted past 9:00 p.m.
Storage
Storage for overstock is limited. We would appreciate being notified ahead of time of any large items or large quantities of stock.
Booth Display
It would be in your best interest to keep yourself accessible to the public. You can do this in several ways. Don’t place physical obstructions between yourself and the public. Let them into your booth. People look forward to these shows because it gives them the opportunity to see unique items. To this end, make it a point to demonstrate part of your wares, it will encourage people to come up to you and ask questions. Talk to them, give them a business card or coupon. This might result in a direct sale or a sale in the future.
Always open your booth on time in the morning. (10:00 a.m. on Saturday and Sunday) Not only is this one of our rules, but it is to your advantage. People often see something one day and come back first thing the next day to buy it.
Due to the ventilation system (i.e. ceiling fans in the arena area) helium inflated balloons are not permitted. Exhibits Ready
All exhibit set-ups must be completed by 9:00 p.m. Friday, June 2nd.
_ No Vehicle Accessibility to the Arena on Saturday, June 3rd
_ No Vehicle Accessibility to the Arena until after 5:00 p.m. on Sunday, June 4th
Floors
The floor of the building is concrete. Painting, nailing or drilling of the floors, walls, or any part of the building is absolutely prohibited. Exhibitors wishing to lay any covering must not use adhesives of any type.

Take down or removal of displays is strictly prohibited prior to the 5:00 p.m. closing.
For the safety of the public, no vehicles will be allowed on site until the last visitor has vacated the building.
Note: Only when your display has been dismantled and packaged for removal will you be allowed to bring your vehicle on site. You must advise the Rotary coordinator at the north end of the arena when you are ready to leave.
Please do not bring your vehicle from the exhibitor parking lot until requested to. With the large amount of pedestrian traffic there is not enough room on the street or arena parking lot to accommodate your vehicle.
Exhibitor Parking
The Catholic school parking lot next to the arena will be reserved for the exhibitors only. Your Exhibitor pass will be required for parking 2 cars per booth. In order to avoid the parade route, we advise you to arrive early on Saturday. THIS PARKING LOT WILL BE CLOSED AND LOCKED AT 6:00 P.M. SATURDAY - DON’T GET LOCKED IN!
Flame Proofing
The exhibitor must assume responsibility for flame proofing fabrics and other materials used for display and decorative purposes. This must be done before hand on your own time and at your own expense.
Entry to Building
Except for set-up day, the doors for vendors will be opened two hours before the beginning of each show.
Entry to the Show
Show management reserves the right to refuse admission to any visitor, exhibitor and exhibitor’s representative who, in the opinion of the management, is intoxicated or in any way disruptive.
Demonstrations
We request that when demonstrating you provide all possible precaution for the safety of show visitors and yourself. If your booth has electrical service, then all your electrical appliances must be CSA approved. Vendors exhibiting alarm systems are requested to disconnect the sound portion of the system.
Soliciting, Samples and Souvenirs
The distribution of samples, souvenirs and promotional material and soliciting of business must be confined to the exhibitor’s own space. Such activities are not permitted in the aisles, or other areas of the arena.
Telephone Service
There are pay telephones in the arena and outside the front door. Due to the location of the arena cellular phones do not work well.
Exhibitor’s Lounge
A licensed lounge will be provided upstairs for the exhibitors and their guests. You must display your exhibitor’s card for entry. The lounge is a good vantage point to observe the goings on of the show.
Security Guards
Bonded security will be provided for non-show hours. Show management, however, does not assume responsibility for losses incurred from pilferage or any other cause. While we don’t anticipate any problems, exhibitors are advised to take all possible precautions to protect your property. Booths should be manned at all times when the show is open.
Snack Bar Facilities
There is a snack bar in the arena. Should you not be in a position to leave your booth for any reason, a roaming Rotarian would be happy to bring food or drink to your booth. There are also many food vendors on the fair grounds outside the arena.
Electrical
Electrical service (one 15 amp service per booth) is included and is provided to all exhibitors when asked for.
Booth Furniture
Curtains will be provided for all booths at no charge. Chairs and tables are available for rent. They must be ordered in advance.
Exhibitor Name Signs
These are the responsibility of each exhibitor. Jay Kay Signs will be on site on Friday, June 2nd for exhibitors to order any signs they may require. You can also contact Kathy at Jay Kay Signs (905) 567-3611 prior to the show.
Exhibitor Badges
Exhibitor badges, parking passes and breakfast tickets will be issued to you at the time of registration on Friday, June 2nd. Be sure to carry your exhibitor badge with you for entry onto the fair grounds. Without the exhibitor badge you will be changed an entry fee.
Note: Booth size is 10’ wide and 8’ deep. Please do not permit your display to exceed these dimensions.
If you plan to have Sunday morning breakfast at the Rotary Pancake Breakfast you are best advised to arrive no later than 9:00 a.m. so as to avoid long line-ups and cause a delay in the opening of your booth.
